Our approach

How we turn Pipedrive into results.

We listen first, design second and build only what makes a real difference: a pipeline your team will actually use, delivered in clear stages with no bloat, no jargon and no surprises.

We untangle CRMs. We don't overcomplicate them.

Why do CRM projects fail?

Almost never because of the software. Six patterns account for most of the failed projects we're asked to rescue, and they arrive in a predictable order, each harder to undo than the last. Our approach exists because of them.

  1. 01 · SELECTION

The platform was wrong from the start

Chosen on a demo, a discount or a recommendation from a business that sells nothing like yours. No amount of configuration rescues a bad fit.

  2. 02 · DESIGN

Nobody mapped the sales process first

Default stages and fields get switched on for a process nobody properly understood. The assumptions are baked in, and finding out costs far more later.

  3. 03 · CONTRACT

    The scope was never agreed

Work starts without a signed-off design or a costed plan. Requirements grow, the budget drifts, and nobody can point to what "done" means.

  4. 04 · BUILD

The build was one big reveal

Months of work land in a single demo. By the time anyone can react, the expensive decisions have already been made.

  5. 05 · GO-LIVE

    The team never adopted it

Training was one all-hands session nobody remembers. Within a month, half the team is quietly back in the spreadsheet.

  6. 06 · AFTER GO-LIVE

    Nobody owned it after launch

The project ends, the partner leaves, and the system drifts out of step with a business that keeps changing. Within a year it's a liability.

The bars show how much harder each failure is to undo.

How we run it

Waterfall or agile? Neither, on its own.

Fix everything up front and you build the wrong thing precisely. Iterate with no fixed destination and the budget wanders. We use a hybrid, and it's the single biggest reason our projects land.

Waterfall

Plan everything, build once

Everything specified and signed off before the build starts. Predictable on paper, brittle in practice: the first thing you learn in build is where the spec was wrong.

Agile

Build in increments, adapt as you go

Short cycles and constant feedback. Responsive, but without an agreed destination an SME budget can drift a long way before anyone notices.

Our hybridHow we work

Fixed frame, iterative build

We fix the destination and the budget up front in a blueprint, then build towards it in reviewable cycles. You get the certainty of one and the adaptability of the other.

The lifecycle

Five stages. One proven method.

Start at any stage. Most clients start at Blueprint; rescues of an existing Pipedrive account usually start at Discover.

  1. STAGE 01

    Discover

    Understand how you really sell.

  2. STAGE 02

    Blueprint

    Agree a costed design first.

  3. STAGE 03

    Build

    Configure and migrate in cycles.

  4. STAGE 04

    Adopt

Get the team live and confident.

  5. STAGE 05

    Evolve

Keep it in step as you grow.

STAGE 01

Discover

We immerse ourselves in how you sell: your goals, your team, your current tools and the friction between them. We map how deals actually move, not how the org chart says they should, and we do it with the people doing the selling.

01 / 05

Why it matters

Most CRM projects fail because they automate a process nobody fully understood. Skipping discovery means building on assumptions, and paying for them later.

What you get

A shared, evidence-based picture of your sales process, with the highest-value improvements prioritised before a penny goes on build.

Typically

Two or three 90-minute workshops, plus a look at your current system and reports.

STAGE 02

Blueprint

We turn what we found into a clear, costed design: pipelines and stages, fields, automations, integrations and the measures of success. You approve it before anything is built.

02 / 05

Why it matters

Without an agreed design and budget, scope creeps and expectations drift. A blueprint turns a vague ambition into something you can price, plan and hold us to.

What you get

A written blueprint and a fixed, phased delivery plan that's yours to keep.

Typically

One to two weeks, at a fixed price.

STAGE 03

Build

We configure Pipedrive, migrate your data and connect your tools in short, reviewable cycles. You see working software every couple of weeks and steer as we go.

03 / 05

Why it matters

One big reveal at the end is where projects go wrong. Short cycles surface problems while they're still cheap to fix.

What you get

A tested Pipedrive account holding your real data, built to the blueprint you signed off.

Typically

Two to six weeks, depending on the migration and integrations involved.

STAGE 04

Adopt

We train each role on exactly what it needs, launch in stages and stay close through the first weeks, so Pipedrive becomes habit rather than homework.

04 / 05

Why it matters

A system nobody uses is the most expensive kind. Adoption has to be designed, not hoped for.

What you get

A confident team, short how-to guides, and usage reporting that shows who's on board.

Typically

Role-based sessions over one to two weeks, plus hands-on launch support.

STAGE 05

Evolve

We stay on as your managed partner, tuning automations, adding pipelines and reports, and keeping Pipedrive in step with a business that never stands still.

05 / 05

Why it matters

Businesses change every quarter. A CRM that doesn't change with them drifts into a liability within a year.

What you get

A named consultant, a UK service desk and regular health checks on your account.

Typically

Ongoing, on zedPlan hours you can scale up or pause.

In practice

Working with us, day to day.

Six things you can hold us to, on any engagement.

A senior consultant who knows you

A named expert leads your project end to end. No hand-offs to people who have never met you.

Plain-English communication

We explain the why behind every recommendation, without jargon, so you can make an informed call.

Working software, early

You see and shape Pipedrive in short cycles, rather than waiting months for a reveal.

Measurable outcomes

We agree what good looks like up front and report against it: time saved, visibility gained, admin removed.

No surprises on cost

Clear scope and transparent pricing mean you always know what you're spending and why. Never a shock invoice.

A partner beyond go-live

We don't disappear once Pipedrive is live. We stay on to support, optimise and grow it with you.

What we need from you: one decision-maker who can settle disagreements about process, a few hours from the people who'll use Pipedrive, honesty about what's broken today, and a willingness to change a process rather than just digitise it.
